This article will will give you an in-depth overview of the Action page of the web app.
The main body of the Action page contains two lists: Actions, for your ongoing and completed actions, and Archived, for actions that have been archived.
At the top right of the page, there are status buttons detailing how many actions for the site there are: To Do, Ongoing, Unfinished and Completed. Tap on one of the buttons to add a filter to the list. For instance, if you tap on the To Do button, you will only see actions on the list with a To Do status. You can remove the filter by tapping the cross on the filter chip.
My Actions and All Actions
You can toggle between viewing only actions assigned to you or all actions across the site by using the My Actions and All Actions buttons. Selecting one automatically toggles the other off. When a button is selected it will appear highlighted and with a blue tick.
Page Filters
You can filter the action list by tapping on the filter dropdown at the top of the window.
Site
If you have an Admin, Management User or Group User permission you can filter the action list by site. Once filtered, a filter chip is added to the right of the Organisation. You can remove the filter by tapping the cross on the filter chip.
Action Status
You can filter the action list by Action Status. Select either the To Do, Ongoing, Unfinished or Completed tickbox. Once filtered, a filter chip is added to the right of the Organisation > Site. You can remove the filter by tapping the cross on the filter chip.
Action Row Details
Each row in the action list contains details of the action which was created.
Ref | The unique reference of the action which is the same number as the inspection reference where the action was created from. |
Creator | The name of the person who created the action. |
Assignee | The name of the person who the action was assigned too, |
Resolvers | The name of the person, or persons who closed out the repairs within the action. |
Status | The status of the action. |
Risk | The risk classification of the repairs within the action. |
Due at | The due date of the action. |
Completed | The date the action was completed. |
Hover Over Buttons
Hovering over a row with your cursor reveals more options to choose from as detailed below which is dependent on the status of the action.
To Do
When an action has a To Do status, you have the option to Bookmark, Edit or Start the action.
Ongoing
When an action has an Ongoing status, you have the option to Bookmark or Continue the action.
Unfinished
When an action has an Unfinished status, you have the option to Bookmark, Export or Share the report or Start the action.
Completed
When an action has a Completed status, you have the option to Bookmark the action, Export or Share the report, View or Archive the action.
Multi-select Tickboxes
The tickboxes on the left of each row in the list allow you to select multiple actions so that you can apply functionality to more than one action at a time. You can only select an action in this way if it has been completed.
After selecting a tickbox, at the top right of the actions list are options to Export, Archive and Refresh the selected elements in the list. You are able to select all rows by selecting the tickbox at the very top beside the column headings. You can also select all rows within a time period by clicking a tickbox in the grey headers.
Archiving Actions
Archiving actions is a way to keep your action list tidy. You can keep actions that are currently relevant in your Action list, whilst moving less relevant actions to the Archived tab.
Hover Over Buttons
More options can be found by hovering over each row of the Archived action list.
Restore
Selecting multiple rows of inspections and tapping Restore, moves all selected actions back into the action list.
